B.06.a.24 – Intern Travel Policy

In general, travel costs to and from didactic training are the responsibility of the psychology intern. However, when interns’ primary office location exceeds 120 miles (approximately 2 hours) away from the regular location of didactic training, individual sites will make reimbursement allowances for intern travel. This allowance should be a minimum of $100 per intern for each required in-person didactics to help offset the cost of travel and hotel expenses. These reimbursements are provided by the site and will adhere to site reimbursement policies. How this is handled may look differently across sites such as booking hotels vs. providing reimbursement and/or providing mileage reimbursement based on the site mileage policy. Please review your site Training Manual Addendum for more information about how intern travel is handled.

Please note that reimbursement should be for actual intern expenses. Interns are to provide documentation of mileage and receipts to their sites as required by site policy in order to receive reimbursement. Sites are to provide reimbursement for all appropriately documented requests within 30 days. A waiver of the minimum reimbursement requirements may also be considered if other arrangements are made for the interns with approval by the President/CEO of NPTC. Sites not meeting the minimum mileage requirement may choose to provide travel and hotel expense reimbursement as a benefit to the intern; however, they are not required to do so.

Intern work hours are determined by site policies; therefore, the sites establish when interns are considered “on the clock” during travel. Interns should check their site’s policies to understand their work hours during travel times including travel between office locations or travel to and from didactics.
